Engineering landman title systems around the source record.

Landman title research is a demanding example of document automation. An extracted name, fraction or recording reference is useful only if the reviewer can trace it to the instrument and the tract under examination.

Keep the assignment and tract explicit

A title workflow begins with scope: county, legal description, tract, research period and required client output. Those identifiers should stay attached to records throughout intake, examination and report assembly. A matching surname or nearby legal description is not enough to merge two records into one ownership chain.

Document identity and tract identity are separate concerns. A single instrument can describe several tracts; several files can contain copies of the same instrument. Preserve those relationships instead of treating every file as a new conveyance.

Make provenance part of the data model

A source-linked runsheet needs more than a citation in a notes column. Identify the document, relevant page, recording reference and derivation of the value carried forward. OCR text is a reading aid; the source image remains available for examination.

Model proposals, accepted facts and unresolved questions belong in different states. A proposed grantor match should not silently become an accepted link in the chain of title.

Compute ownership with exact arithmetic

Ownership fractions and net mineral acres should be calculated deterministically from explicit inputs. Preserve the fraction, acreage basis and instruments behind each step. A model can help interpret language for review, but an unchecked decimal is not a verified ownership calculation.

A numerical total of one does not establish that the correct owners were identified. Compare the ownership model with the instruments and assignment, as well as checking its arithmetic.

Verify the report that will be delivered

The final workbook is a separate artifact. Check owner names, interests, recording references, unresolved issues and layout against the accepted working record. A passing source test or successful provider request does not prove the exported package contains the correct work.

Unresolved title questions need an explicit disposition. The qualified landman and appropriate legal reviewer retain responsibility for title conclusions.
